How to Process Commissions

Step 1. Process Remaining Autoships

If you are using a credit card gateway system, meaning you are hooked up to real time credit card gateway, the first thing you want to do is go retry any failed autoships.

a. Go to System, Charge/Invoice, unpaid orders, credit card and click process. This brings up a list of all cards that have failed and how many times you have tried them.

b. Retry any existing orders that affect the com period you are processing. This ensures any who should be financial are, and you don’t have members not getting paid due to a gateway glitch or timing issue on payments to their credit card provider.

Step 2. Check Invoice Listing

Check your invoice listing in reporting invoices for the period you are running.  So for example if October, Click reporting, invoices, set your date range from 2008 October 1 to 2008 October 31 and hit submit.

a. Confirm all orders in the system are as they should be. Make sure nobody you know is a leader or just you know would have paid shows an unpaid invoice. If there are some, track down if a system issue (unlikely) or the member has had issues and if they want to make good or lose commissions. This is just good customer service, not necessary.

b. Fix any data issues this step reveals. If you know there are orders that you processed offline somehow that don’t show in system, make sure to enter them etc.

Step 3. Check General Data

Check general data and downline appears correct by looking up your top distributor in distributor search and going into their genealogy and matrix viewer.  Once you feel things are right in these areas proceed to the next step.

Step 4. Run Commissions

Run commissions by going to Admin, System, Commrun.  Hit the run or re-run button on the period in question.  Depending on your company size, this can take 5 minutes when you have in the hundreds of members, up to a few hours if you have around 10,000 members, to a whole day should you have 100,000 members.

a. It is best you set the display radio button to no until you confirm the calculations are correct. Do this by checking NO and clicking the upd button.

b. When you have set display then click process comms button at the bottom, or if you are rerunning, the rerun button to top left. Wait 5 min if under 100 members, 1 hour if 100 to 1000 members, 2 hours if 1000 to 5000 members, 3 hours if 5000 to 10000 members. Check back, when complete you will see a PAY button.

c. DO NOT HIT PAY YET!!!

Step 5. Generate Report

To check you are happy with comms, go to admin, reporting, CommPeriod, click Generate Report for the period you want to see.

a. Once you hit generate, you will see a link that says Download Report – Payout Summary c** datetime.csv

b. Click to download, save to your computer if you like. Will show all commissions and types paid to all members.

c. Use this list to analyze things look correct to you.

d. Any member you are curious about, look them up in distmaint and check their earnings report, even though you have it set to NOT DISPLAY, it will still display in Admin for you, just not in members lounge.

e. Once you are happy comms are ok, you are ready to go prepare withdrawals.

f. DO NOT PROCESS CHECKS FROM THIS LIST!!!!!

Step 6. Process Withdrawals

Too actually Process Withdrawals, go to Admin, System, and Withdrawals.  This is the area where the system will go look at each individual’s withdrawal settings, and process the correct amount according to their settings.  YOU MUST TRAIN them on how to set this up, or let INS know what you wish to do by default.  Our suggested default is all money is paid into Personal Account and waits for instruction from members.  This way they can use to pay autoship the following month with their earnings, they can sign others up with gift certificates using their earnings, they can transfer earnings to another member for the purpose of that member paying autoship etc.  These are advanced functions of INS system that will make you a fortune while saving you a fortune.  Better to train usage of the system you own, than to break it and take away the advantages by issuing complete paychecks each period that haven’t been requested.

a. Click Generate Auto Payment Requests

b. Give the system 5 or 10 min if you have 1000 or more members to process. It is now going and reading each member’s desire for how to be paid and by which payment type you are willing to pay out by and generating you lists of who to pay and by what payment method. Will be an empty list if you haven’t trained members how to request their money and set this area of their members lounge up. Re Click Withdrawals link on the left hand menu as per the instruction.

c. You now have lists of members with amounts by all your accepted payout types.

d. If you are only paychecks, then all you do is click the link by check, and it will generate you a list to approve.

e. Once approved you give it your first Simply Accounting 1 check per page laser printer check blank number, and it will create a PDF batch to print your checks out with.
